PackSnap is a service operated by Hof Coral under the PackSnap name ("PackSnap," "we," "us," or "our"). PackSnap provides operational software for live-selling and ecommerce businesses. This Privacy Policy explains how we collect, use, disclose, and protect personal information when people visit our websites, create or use a PackSnap account, use the PackSnap administrative platform or device application, communicate with us, or otherwise interact with our services (collectively, the "Services").

This policy should be read together with our Terms of Service and Data Protection Terms.

1. Scope and our role

PackSnap handles personal information in two different roles. The distinction matters because it determines who decides why and how information is used.

1.1 Information PackSnap controls

PackSnap acts as a controller or business for personal information that we use for our own legitimate business purposes, including account registration, authentication, subscription administration, billing, security, support, legal compliance, and service analytics. This includes information about organization owners, administrators, platform users, and people who contact us directly.

1.2 Customer Data PackSnap processes for sellers

Business customers use PackSnap to manage their own live-selling and ecommerce operations. They may upload or generate information about their buyers, recipients, orders, packages, products, crew members, and fulfillment activity ("Customer Data").

For personal information contained in Customer Data, the business customer is generally the controller or business and PackSnap is its processor or service provider. We process that information on the customer's instructions to provide the Services. The customer is responsible for its own privacy notices, legal bases, marketplace obligations, and responses to people whose information it controls.

If you are a buyer or recipient whose information appears in PackSnap because you purchased from one of our customers, please direct privacy questions or requests to that seller first. We will assist the seller as required by law and our Data Protection Terms.

1.3 Information outside this policy

This policy does not govern the independent privacy practices of a PackSnap customer, TikTok, Whatnot, a shipping carrier, or another third party. Their own notices and terms apply to information they control.

2. Personal information we collect

The information we collect depends on how you and your organization use PackSnap.

2.1 Account and profile information

We may collect:

  • name, email address, profile image, and authentication identifiers;
  • organization name, shop name, organization role, timezone, and related settings;
  • invitations, membership status, and account preferences;
  • records showing acceptance of legal terms, including acceptance time, IP address, and user agent; and
  • account status, creation date, update date, and recent activity time.

Authentication providers may process sign-in credentials on our behalf. PackSnap does not receive or store your Google password or full third-party account password.

2.2 Subscription and billing information

We may collect:

  • selected plan, usage limits, package counts, subscription status, and billing-period information;
  • billing contact information;
  • payment-method type and limited payment details such as card brand and last four digits;
  • invoice, payment, refund, and transaction identifiers; and
  • records needed for accounting, fraud prevention, and dispute handling.

Payment-card numbers are collected and processed by our payment provider, not stored directly by PackSnap.

2.3 Customer operational data

Customers may submit or generate operational information through the Services, including:

  • marketplace export files and their source file names;
  • show names, dates, shops, platforms, parts, and import history;
  • order and package identifiers, tracking numbers, package status, and shipping information;
  • buyer usernames, recipient names, and delivery addresses;
  • item titles, quantities, SKUs, prices, discounts, taxes, refund or cancellation status, and other order details included in an export;
  • product, barcode, catalog, inventory, cost, location, and stock-movement information;
  • packing proof images and image metadata;
  • picking, scanning, pulling, and packing timestamps, durations, statuses, and issue records; and
  • reports and other records generated from the customer's operations.

The exact fields in a marketplace export are controlled by the marketplace and the customer. Customers should review files before uploading them and should not include information that is unnecessary for the Services.

2.4 Users, crew members, and devices

We may collect:

  • platform user and crew-member names, roles, status, and activity;
  • device name, device token or identifier, pairing and expiration information;
  • browser or device user agent and an inferred general device type;
  • last-seen time and operational actions associated with a device or crew member; and
  • records showing who scanned, pulled, or packed a package and which authorized device was used.

2.5 Photos and camera access

The PackSnap device application requests camera access so authorized personnel can scan codes and capture packing proof photos. A photo may include products, packaging, a work area, or information visible in the camera frame. Users should avoid capturing faces, unrelated documents, payment information, or other unnecessary personal information.

PackSnap does not use camera access to continuously monitor users. Photos are captured when a user activates the relevant workflow. PackSnap does not intentionally collect audio through the packing-proof feature.

2.6 Technical, usage, and security information

When you use the Services, we may automatically collect:

  • IP address, browser type, operating system, device type, language, and approximate region derived from IP address;
  • pages or screens viewed, buttons or features used, timestamps, referring URLs, and session activity;
  • API requests, response status, errors, performance data, and diagnostic logs;
  • authentication, security, pairing, and access-control events; and
  • cookie, local-storage, IndexedDB, and similar technology identifiers used to maintain sessions, remember settings, queue proof uploads, and operate the Services.

Where enabled, we use Microsoft Clarity or similar product-analytics tools to understand reliability and interaction patterns. These tools may provide event analytics and session-replay diagnostics. We use masking controls on operational screens intended to contain Customer Data and do not use this information for third-party advertising.

2.7 Communications and support

If you contact us, we collect the information you provide, such as your name, email address, organization, message, attachments, support history, and information needed to investigate an issue.

3. Sources of personal information

We collect personal information from:

  • you, when you register, configure settings, use a device, upload a file or photo, or contact us;
  • your organization, including owners or administrators who invite you, assign a role, create a crew record, or pair a device;
  • marketplace and ecommerce records supplied by the customer, including official exports or information the customer is authorized to provide;
  • devices and browsers, through normal technical operation, logs, local storage, cookies, and analytics;
  • service providers, such as authentication, payment, cloud-hosting, security, and support providers; and
  • public or commercial product-data sources, when a product lookup feature is used.

We do not independently obtain marketplace account credentials or scrape private marketplace accounts as part of the Services described by this policy.

4. How we use personal information

We use personal information to:

4.1 Provide and operate the Services

  • create and administer accounts, organizations, roles, shops, plans, and paired devices;
  • authenticate users and devices and maintain sessions;
  • import, validate, organize, and display order and show data;
  • match items, packages, tracking records, and proof images;
  • support picking, scanning, pulling, packing, inventory, gallery, reporting, and related workflows;
  • process subscriptions, usage, invoices, and payments; and
  • provide customer support and respond to requests.

4.2 Secure and protect PackSnap

  • enforce organization boundaries and permissions;
  • detect, investigate, and prevent unauthorized access, abuse, fraud, malware, and security incidents;
  • maintain logs, backups, service integrity, and availability; and
  • debug errors and recover failed or interrupted workflows.

4.3 Improve the Services

  • understand feature use and workflow performance;
  • diagnose reliability, usability, and device-compatibility issues;
  • improve import parsers, package matching, product features, and user experience; and
  • create and use de-identified information to operate, secure, analyze, improve, and develop our products, services, and business.

We do not use buyer personal information for unrelated advertising, direct marketing, data brokerage, or profiling. We use de-identified information only where it cannot reasonably identify a customer, user, buyer, or other individual or be linked back to Customer Data. We maintain it in de-identified form, do not attempt to re-identify it, and do not use it where prohibited by applicable law or marketplace restrictions. Additional restrictions appear in our Terms of Service and Data Protection Terms.

4.4 Communicate with users

  • send transactional, security, billing, policy, and service notices;
  • respond to support requests; and
  • send product or business updates where permitted by law and subject to available communication choices.

4.5 Meet legal obligations

  • comply with applicable law, court orders, and lawful requests;
  • establish, exercise, or defend legal claims;
  • enforce our agreements and policies; and
  • maintain records required for tax, accounting, compliance, and dispute resolution.

5. Legal bases for processing

Where a law requires us to identify a legal basis, PackSnap relies on one or more of the following:

  • Contract: processing necessary to provide the Services or take steps requested before entering into a contract;
  • Legitimate interests: operating, securing, supporting, and improving a business service, preventing fraud, communicating with business users, and protecting legal rights, where those interests are not overridden by individual rights;
  • Legal obligation: processing necessary to comply with law, lawful process, tax, accounting, or regulatory requirements;
  • Consent: where we specifically request consent and applicable law requires it; and
  • Customer instructions: for Customer Data, processing performed on behalf of and under the instructions of the business customer.

You may contact us for more information about the legal basis that applies to a particular activity.

6. How we disclose personal information

We disclose personal information only as reasonably necessary for the purposes described in this policy.

6.1 Within the customer's organization

Customer Data and user activity may be visible to authorized owners, administrators, operations personnel, team members, or crew members according to their roles and the features they use. Organization administrators control those access decisions.

6.2 Service providers

We use service providers to operate PackSnap. Depending on the feature, these providers may process information on our behalf. Current provider categories include:

  • Amazon Web Services (AWS): cloud hosting, databases, object storage, networking, caching, logging, and related infrastructure;
  • Clerk: user authentication and identity management;
  • Stripe: subscription billing, payment processing, invoices, and payment-related fraud prevention;
  • Microsoft Clarity: product analytics and session diagnostics where enabled; and
  • providers supporting product-data lookup, email, support, monitoring, security, and professional services.

We require providers handling personal information to process it for authorized purposes and protect it under contractual or legal obligations appropriate to their role.

6.3 At the customer's direction

We may disclose or make information available when the Customer directs us to do so, enables an integration, exports a report, shares a proof, or otherwise uses a feature designed to transmit information.

6.4 Legal, safety, and rights protection

We may disclose information if we reasonably believe it is necessary to comply with law or lawful process; protect the rights, safety, or security of PackSnap, our customers, users, or others; investigate fraud or abuse; or enforce our agreements.

Unless prohibited, we will seek to direct requests for Customer Data to the relevant customer and provide notice before disclosure where reasonably possible.

6.5 Business transactions

Information may be disclosed in connection with financing, due diligence, a merger, acquisition, reorganization, bankruptcy, or sale of some or all of PackSnap's business or assets. Any recipient will be required to handle personal information consistently with applicable law and the commitments that apply to it.

6.6 Professional advisers

We may disclose information to lawyers, accountants, auditors, insurers, and other professional advisers who are subject to confidentiality duties.

7. No sale or targeted advertising

PackSnap does not sell personal information for money. PackSnap also does not share personal information for cross-context behavioral advertising and does not use Customer Data to advertise third-party products to buyers.

If our practices change, we will update this policy and provide any choices required by law before using personal information in the new manner.

8. Cookies, local storage, and similar technologies

PackSnap uses cookies and similar technologies for purposes such as:

  • authenticating users and maintaining secure sessions;
  • remembering preferences and application state;
  • pairing and identifying authorized devices;
  • storing queued proof images and workflow state locally until they can be processed;
  • preventing abuse and protecting security; and
  • measuring performance and feature use.

Some browser or device storage is necessary for the Services to function. Blocking or clearing it may sign you out, unpair a device, remove locally queued information, or prevent features from working correctly.

We do not use advertising cookies. Browser Do Not Track signals are not governed by a uniform standard. Because PackSnap does not sell or share personal information for targeted advertising, such a signal does not change those practices. Where applicable law requires recognition of a valid opt-out preference signal, we will honor it for the activity covered by that law.

9. Data retention

We retain personal information for the shortest period reasonably necessary for the purposes described in this policy, taking into account the nature of the information, the Customer's plan and instructions, operational needs, security, backup integrity, and legal obligations.

In general:

  • account and organization records are retained while the account or organization remains active and for a reasonable period afterward;
  • Customer Data is retained for the service term or until the Customer deletes it or requests deletion, subject to plan settings and legal exceptions;
  • proof-image retention may depend on the Customer's plan or organization settings where those controls are enabled;
  • locally queued proof images may remain on an authorized device while an upload is pending or available for retry, and can be removed through the application workflow;
  • billing, legal-acceptance, security, and audit records may be retained as needed for compliance, fraud prevention, disputes, and legitimate business records; and
  • backup copies may remain for a limited period until overwritten through normal backup cycles.

When information is no longer needed, we delete it, de-identify it, or isolate it from ordinary use, subject to technical and legal limitations.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. Depending on the system and data, these safeguards include:

  • role-based and organization-scoped access controls;
  • managed authentication and device-token controls;
  • encryption in transit and cloud-provider encryption at rest where supported;
  • separation of public media, private imports, and proof storage;
  • logging, monitoring, dependency management, and incident-response practices;
  • backups and recovery measures appropriate to the Service; and
  • confidentiality obligations for personnel and service providers with access.

No method of storage or transmission is completely secure. Customers also play an important role by limiting access, securing devices and credentials, reviewing roles, and promptly reporting suspected compromise.

11. International processing

PackSnap and its service providers may process information in the United States and other countries where they operate. Those countries may have privacy laws different from the laws where you live.

Where required, we use an appropriate legal mechanism for international transfers, such as contractual protections or another mechanism recognized by applicable law. Business customers that require a specific transfer mechanism should contact support@packsnap.io before submitting regulated data so the necessary terms can be evaluated.

12. Your choices and privacy rights

Depending on your location and relationship with PackSnap, you may have the right to:

  • know or access personal information about you;
  • correct inaccurate personal information;
  • delete personal information;
  • receive a portable copy of certain information;
  • object to or restrict certain processing;
  • withdraw consent where processing is based on consent;
  • opt out of sale, sharing, or targeted advertising where applicable;
  • limit certain uses of sensitive personal information where applicable;
  • appeal a denial of a privacy request where applicable; and
  • receive equal service without unlawful discrimination for exercising a privacy right.

To exercise a right concerning account information PackSnap controls, email support@packsnap.io with the subject "Privacy Request." We may need to verify your identity and relationship to the relevant organization before responding.

If your request concerns Customer Data controlled by a PackSnap customer, contact that customer first. If we receive the request directly, we may refer it to the customer or ask for information needed to identify the customer. We will assist the customer as required by applicable law.

You may use an authorized agent where permitted by law. We may request proof of the agent's authority and may verify your identity directly. You may also complain to your local data-protection authority.

13. U.S. state privacy disclosures

This section supplements the rest of this policy for residents of U.S. states with comprehensive privacy laws. Rights vary by state and may apply only if PackSnap or the relevant customer meets statutory thresholds.

Customer Data may contain delivery addresses or other information treated as sensitive under some laws. PackSnap uses such information only for the operational purposes described in this policy and does not use sensitive personal information to infer characteristics about individuals.

13.2 Sale and sharing

PackSnap has not sold personal information for money or shared personal information for cross-context behavioral advertising during the preceding 12 months. PackSnap does not knowingly sell or share personal information of individuals under 18.

13.3 Retention

We apply the retention considerations described in Section 9 to each category. A single fixed period does not fit every record because subscription, proof-image, billing, security, and Customer Data records serve different purposes. We do not retain a category longer than reasonably necessary for its disclosed purposes, subject to legal, backup, and dispute-resolution needs.

13.4 California notice at collection

At or before collection, California residents may review Sections 2 through 4 for the categories collected and purposes of use, Section 6 for disclosure, Section 7 for our no-sale/no-sharing commitment, Section 9 for retention criteria, and Section 12 for rights and request instructions.

14. Children

The Services are business tools and are not directed to children. You must be at least 18 to create an account or use a paired operational device. We do not knowingly collect personal information directly from children. If you believe a child has provided information directly to PackSnap, contact us so we can investigate and take appropriate action.

15. Third-party services and links

The Services may refer or link to third-party websites, marketplaces, carriers, or services. PackSnap does not control their privacy practices. Review the privacy policy of each third party before providing information to it.

Customers are independently responsible for their marketplace accounts and for complying with marketplace privacy and data-use requirements.

16. Changes to this policy

We may update this policy to reflect changes in the Services, law, providers, or data practices. The version and dates at the top show when it was last revised.

For a material change, we will provide notice through the Services, by email, or by another reasonable method. Where appropriate, we may require an authorized user to review and accept the updated policy before continued use. We will not apply a material change retroactively in a manner that is unlawful.
